The problem

The work is done at five The paperwork isn't

The truck seat

Receipts everywhere, jobs nowhere

A month later nobody remembers if that tile was for the Smith kitchen or the Patel bath, so job costs come in late, or never.

The subs

W-9s you have to chase

January comes, 1099s are due, and half your subs never sent the form. Their insurance may have lapsed too.

The kitchen table

Nights and weekends

Software built for someone at a desk turns into Sunday nights for you, or for whoever does your books.

How it works

Three steps No desk required

  1. Snap it or email it

Take a photo of the receipt in the app, or forward an emailed receipt from the truck. Connect your bank once and statements come in on their own.

  2. We file it to the job

Every cost lands on the right job and the right business. If something is unclear, we ask one plain question.

  3. You get the Friday Done List

Every Friday: what got done, what got paid, and what is waiting on you. Your CPA sees the same clean books.

FAQ

Straight answers

Do I still need a CPA?

Yes, and we think that is a good thing. NumbersDone keeps your books and spots ways to save, then sends every tax idea to your CPA to approve. We do not file your taxes or give tax advice.

Do I need QuickBooks?

No. NumbersDone keeps your books on its own. If your CPA works in QuickBooks Online, you can export clean files to QBO, CSV or PDF any time.

Is there an app to learn?

Barely. Snap a receipt in the app or forward it by email, then answer a few yes-or-no questions on Friday. There is a web view for you, your office and your CPA when you want the details.

What is the 1099 Season Pass?

A $149 pass for one 1099 season. We send each of your subs a quick W-9 link by email or share link, chase the ones who do not answer, check their insurance certificates, and put together your 1099 packet, ready before the Feb 1, 2027 filing deadline.

Do you file my 1099s?

This season the Season Pass gets you a ready-made 1099 packet. You can file it free with the IRS through IRIS, the IRS’s free online filing system, using our step-by-step guide, or hand the packet to your CPA. To file yourself you need your own IRIS filer code (a Transmitter Control Code). It requires an EIN and can take up to 45 days, so apply by mid-December.

How do you make sure the numbers are right?

Every entry has a source, a second check, and your approval. Each entry links to the receipt, statement or note it came from. A second automated check runs on every monthly close and every 1099 figure, along with rule checks. The audit log can’t be edited by anyone, and nothing is final until you approve it.

What happens to my data if I leave?

It is yours. Export everything to QuickBooks, CSV or PDF before you go. No contracts to break.

How do you keep my data safe?

NumbersDone is designed with encryption in transit and at rest, multi-factor sign-in, role-based access and a full audit log. We will publish our full security details before launch.

I run more than one LLC. Does that work?

Yes. Each business gets its own books, your personal spending stays separate, and money moved between them is tracked both ways.

When can I start?
